3. Why We Use Your Information and Our Lawful Basis
- To respond to your enquiry and provide a quotation — lawful basis: steps taken at your request prior to entering a contract.
- To carry out the work you have booked — lawful basis: performance of a contract.
- To take payment and keep accounting records — lawful basis: performance of a contract and legal obligation.
- To keep F-Gas and refrigerant handling records — lawful basis: legal obligation under the F-Gas Regulations.
- To introduce you to a credit broker where you ask us to — lawful basis: consent, which you may withdraw at any time.
- To send servicing reminders to existing customers — lawful basis: legitimate interests (maintaining the systems we have installed and keeping warranties valid). You can opt out at any time.
- To handle complaints and defend legal claims — lawful basis: legitimate interests.
- To keep our website secure and working properly — lawful basis: legitimate interests.
4. Marketing
- We will only send you marketing messages where you have consented, or where you are an existing customer and the message relates to similar services (the “soft opt-in” permitted under PECR).
- Every marketing message includes a simple way to unsubscribe.

- We do not sell your personal information to anyone, and we do not share it for third-party marketing.
5. Who We Share Your Information With
We share personal information only where necessary, and only with:
- Phoenix Financial Consultants Limited — where you have asked us to introduce you for finance, and only with your consent.
- Equipment suppliers and manufacturers — where needed to register a warranty or order parts for your job.
- Our accountant and payment providers — for invoicing, payment processing and statutory accounts.
- IT and website service providers — who host our website and email under contract.
- REFCOM and regulators — where we are legally required to make F-Gas records available.
- Professional advisers, insurers and law enforcement — where legally required or necessary to establish or defend legal claims.
All our suppliers are required to protect your data and may only use it for the purposes we specify.
6. Payment Information
Where you pay by card, your card details are processed directly by our payment provider. We do not see or store full card numbers on our systems. Our payment provider processes your data as a separate controller under its own privacy policy.
7. International Transfers
Your information is normally held within the United Kingdom or the European Economic Area. Where a service provider we use stores data outside the UK, we ensure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement.
8. How Long We Keep Your Information
- Enquiries that do not become jobs — up to 12 months, then deleted.
- Customer and job records — 6 years after the end of our relationship, to deal with any claims under contract law.
- Accounting and tax records — 6 years, as required by HMRC.
- F-Gas records — at least 5 years, as required by the F-Gas Regulations.
- Marketing consents — until you withdraw consent.
9. Your Rights
Under UK GDPR you have the right to:
- Access the personal information we hold about you
- Rectification — have inaccurate information corrected
- Erasure — ask us to delete your information, where no legal obligation requires us to keep it
- Restriction — ask us to limit how we use your information
- Portability — receive your information in a portable format
- Object — object to processing based on legitimate interests, and to direct marketing at any time
- Withdraw consent — where our processing is based on consent

We take appropriate technical and organisational measures to protect your information against loss, misuse and unauthorised access. Our website uses encrypted connections. Access to customer records is limited to those who need it to do their job.
